Can I book shockwave therapy directly?

New patients should start with an initial assessment. Shockwave therapy is considered only when your presentation, health history and clinical findings indicate that it may be appropriate.

Do I need to be an athlete?

No. Sports-focused care can also suit active adults, gym-goers, tradies and anyone whose symptoms affect exercise, physical work or everyday movement.

How many appointments will I need?

There is no standard number of appointments. Recommendations depend on your diagnosis, how long symptoms have been present, your response to care and the rehabilitation plan appropriate for your goals.

What happens at my first appointment?

Your 60-minute initial appointment includes a discussion of your symptoms and health history, a physical assessment, an explanation of relevant findings and individual recommendations for next steps.

Bookings, Cancellations and Refunds

Last updated: 2 September 2026

This policy explains how Back to Function Chiropractic manages appointment bookings, cancellations, rescheduling, late arrivals, missed appointments and refunds.

1. Making an appointment

Appointments may be requested online, by telephone, by email or directly with the clinic. Online bookings may be processed through Cliniko, our appointment-management provider.

Your appointment is confirmed when you receive a booking confirmation from Cliniko or directly from Back to Function Chiropractic.

Please ensure that your name, telephone number, email address, appointment type and selected clinic location are correct when making a booking.

2. Appointment fees

The applicable consultation fee will normally be displayed during booking or communicated before your appointment is confirmed.

Fees may differ according to the appointment type, duration, practitioner, service or clinic location. Additional services will only be provided where clinically appropriate and discussed with you.

Unless another arrangement has been approved, payment is due at the time the service is provided.

3. Changing or cancelling an appointment

We understand that plans and circumstances can change. If you need to cancel or reschedule, please provide at least 24 hours’ notice where reasonably possible.

You can change or cancel an appointment by:

A cancellation or rescheduling request is effective when it is successfully processed through the booking system or received by the clinic.

4. Late cancellations

A cancellation made less than 24 hours before the scheduled appointment may be treated as a late cancellation.

A reasonable late-cancellation fee may apply when insufficient notice prevents us from offering the reserved appointment time to another patient. Any applicable fee will be disclosed during booking or communicated before your appointment is confirmed.

A cancellation fee will not be imposed as a penalty and will not exceed the reasonable cost or loss associated with the cancelled appointment.

5. Missed appointments

An appointment may be treated as missed if you do not attend and have not contacted us to cancel or reschedule.

A reasonable missed-appointment fee may apply if the reserved appointment time could not be offered to another patient. Repeated missed appointments may require advance payment before another appointment is reserved.

Any applicable fee or advance-payment requirement will be explained before a new booking is confirmed.

6. Exceptional circumstances

We recognise that emergencies, sudden illness, caring responsibilities, transport disruption and other circumstances outside your reasonable control can occur.

If you cannot provide 24 hours’ notice, please contact us as soon as possible. We will consider the circumstances fairly and may waive or reduce an applicable cancellation fee.

You should not attend the clinic if doing so could place you or others at an unreasonable health or safety risk. Please contact us to discuss rescheduling or an appropriate alternative.

7. Late arrivals

If you arrive late, we will make reasonable efforts to provide the appointment within the remaining scheduled time. Extending the appointment may not be possible if another patient is booked immediately afterwards.

Depending on the amount of time remaining and the nature of the appointment, the practitioner may need to shorten, modify or reschedule the service to maintain safe and appropriate care.

The full scheduled appointment fee may still apply where the appointment can reasonably proceed or where the reserved time could not be used for another patient.

8. Clinic delays

Healthcare appointments sometimes take longer than expected because of clinical needs or unforeseen circumstances. We will make reasonable efforts to notify you of a significant delay.

If a substantial clinic delay means you cannot reasonably receive the booked service, you may reschedule or cancel without a cancellation fee.

9. Cancellations by the clinic

We may need to change or cancel an appointment because of practitioner illness, emergencies, unsafe conditions, equipment problems or other circumstances outside our reasonable control.

If we cancel an appointment, we will offer you the choice of:

  • Rescheduling to another suitable time;
  • Changing to another appropriate practitioner or location; or
  • Receiving a refund of any amount prepaid for the cancelled service.

You will not be charged a cancellation fee when the clinic cancels your appointment.

10. Prepayments and deposits

If a deposit or advance payment is required, the amount and applicable conditions will be disclosed before payment is requested.

Where you cancel with sufficient notice, any prepaid amount will be refunded or, with your agreement, credited toward another appointment.

For a late cancellation or missed appointment, we may deduct a previously disclosed and reasonable cancellation fee before refunding the remaining balance.

11. Refunds for healthcare services

Healthcare responses and outcomes vary between individuals. A refund is not automatically available solely because a service did not produce the outcome you expected.

This does not limit your rights under the Australian Consumer Law. If a service does not meet an applicable consumer guarantee, you may be entitled to an appropriate remedy.

Refunds may also be provided for:

  • A service that was prepaid but not provided;
  • An accidental duplicate payment;
  • An incorrect charge or overpayment; or
  • Another circumstance where a refund is required by law.

Approved refunds will normally be returned using the original payment method. Processing times may depend on your bank or payment provider.

12. Private health insurance

Any private health insurance rebate depends on your insurer, membership, level of cover, annual limits and the service provided.

You remain responsible for fees not covered by your insurer. If a claim is rejected or reversed, you may be required to pay the outstanding amount directly to the clinic.

13. Third-party booking services

Online bookings may be processed through Cliniko. Technical problems, delayed messages or unsuccessful submissions can occasionally occur. If you do not receive confirmation, please contact the clinic before assuming that an appointment has been reserved or cancelled.

Personal information associated with bookings is handled in accordance with our Privacy Policy.

14. Australian Consumer Law

Nothing in this policy excludes, restricts or modifies any right, consumer guarantee or remedy that cannot legally be excluded under the Australian Consumer Law.

15. Questions or concerns

If you have a question about a booking, fee, cancellation or refund, please contact us so we can review the circumstances.

Patient Care Policy

Last updated: 2 September 2026

Back to Function Chiropractic is committed to providing safe, respectful and person-centred healthcare. This policy explains what you can expect from us, your role in your care and how to provide feedback or raise a concern.

This policy reflects the principles of the Australian Charter of Healthcare Rights, including access, safety, respect, partnership, information, privacy and the right to provide feedback.

1. Access to care

You have the right to:

  • Access healthcare services that are appropriate to your needs.
  • Receive information about available appointments, services, fees and clinic locations.
  • Be informed if a service is unavailable or if another provider may be more appropriate.
  • Receive care without unlawful discrimination based on age, disability, sex, gender identity, sexual orientation, race, religion, culture or another protected characteristic.

Appointment availability depends on practitioner schedules, clinical suitability and the services offered at each location.

2. Safe and appropriate care

You have the right to:

  • Receive care provided with reasonable care and skill.
  • Be assessed before a practitioner recommends an appropriate service or care plan.
  • Have relevant health history, symptoms, risks and contraindications considered.
  • Be referred to another healthcare professional or for further investigation where appropriate.
  • Raise a safety concern at any stage of your appointment.

A practitioner may modify, postpone or decline a service if it is not considered clinically appropriate or if proceeding could create an unreasonable risk.

3. Respect and dignity

You have the right to:

  • Be treated with courtesy, dignity and respect.
  • Have your personal values, preferences, culture and beliefs considered.
  • Receive care in an environment that supports personal privacy and professional boundaries.
  • Ask for a procedure to pause or stop at any time.
  • Request reasonable assistance with communication, mobility, accessibility or other individual needs.

Disrespectful, threatening, discriminatory, abusive or unsafe behaviour toward patients, practitioners or clinic personnel is not acceptable.

4. Partnership and participation

We encourage you to participate actively in decisions about your healthcare. You have the right to:

  • Ask questions and discuss what is important to you.
  • Receive information that supports an informed decision about your care.
  • Discuss reasonable alternatives, including the option of receiving no treatment.
  • Seek a second opinion or choose another qualified healthcare provider.
  • Include a family member, carer, support person or authorised representative where appropriate.

The presence of another person may be limited where necessary to protect privacy, safety, infection control or the rights of another person.

5. Information about your care

You have the right to receive a reasonable explanation of:

  • Your assessment findings and their clinical significance.
  • The proposed service or care approach.
  • Expected benefits and realistic treatment objectives.
  • Material risks, limitations and possible discomforts.
  • Reasonable alternatives to the proposed care.
  • The likely fees and expected appointment requirements.
  • Any recommended referral or further investigation.

Healthcare responses vary between individuals. Information about expected outcomes is not a guarantee of a particular result.

6. Informed consent

Your consent must be voluntary and based on information you can reasonably understand. You may ask questions before deciding whether to proceed.

Consent may be verbal, written or indicated through your actions, depending on the nature and risk of the proposed service. Additional or renewed consent may be requested if:

  • The proposed care changes materially;
  • A different procedure or body area is being considered;
  • New risks or relevant information arise; or
  • There is uncertainty about whether you wish to continue.

You may decline or withdraw consent at any time. Withdrawing consent will not affect your right to receive respectful care, although it may limit what services can safely or appropriately be provided.

7. Physical examinations and treatment

Before a physical examination or hands-on procedure, the practitioner should explain what is proposed and obtain your consent.

You may ask why a particular examination or technique is recommended, request reasonable modifications, ask for additional draping or request that the procedure stop.

You may request that a support person or suitable chaperone be present. We will make reasonable efforts to accommodate the request, although the appointment may need to be rescheduled if an appropriate person is not immediately available.

8. Children and people requiring decision-making support

Consent for a child or a person who cannot independently provide informed consent must be obtained from an authorised parent, guardian or substitute decision-maker, subject to applicable law.

Children and other patients requiring support should still be involved in decisions to the extent appropriate for their age, understanding, preferences and circumstances.

9. Privacy and health records

You have the right to:

  • Have personal and health information handled responsibly.
  • Know why information is being collected and how it may be used or disclosed.
  • Request access to health information held about you, subject to applicable law.
  • Request correction of information that is inaccurate, incomplete or outdated.
  • Discuss privacy concerns without affecting the standard of your care.

More information is available in our Privacy Policy.

10. Your responsibilities

To help us provide safe and appropriate care, please:

  • Provide information about your health history, symptoms, medications, diagnoses and previous treatment as accurately as you reasonably can.
  • Tell your practitioner about relevant changes to your health or circumstances.
  • Ask questions if information or instructions are unclear.
  • Tell the practitioner if you experience unexpected pain, discomfort or concern during an appointment.
  • Follow agreed safety instructions or explain if you cannot reasonably follow them.
  • Treat practitioners, personnel and other patients with courtesy and respect.
  • Attend appointments on time or provide reasonable notice if you need to cancel or reschedule.
  • Pay agreed fees and provide accurate insurance information.

Appointment arrangements are explained in our Bookings, Cancellations and Refunds Policy .

11. Communication and accessibility

Please tell us if you require an interpreter, accessible information, assistance communicating or another reasonable adjustment. We will make reasonable efforts to accommodate your needs.

You are encouraged to repeat instructions in your own words, take notes or request written information where this would help you understand your care.

12. Professional boundaries and appropriate conduct

Practitioners and clinic personnel are expected to maintain professional boundaries and communicate respectfully.

The clinic may pause or discontinue an appointment where behaviour creates a safety risk, involves harassment or abuse, or makes it unreasonable to continue providing care.

Except in urgent circumstances, we will explain the reason and, where appropriate, provide information about alternative care options.

13. Feedback and complaints

You have the right to provide feedback, ask questions or make a complaint without being treated unfairly or disadvantaged.

Where you feel comfortable doing so, we encourage you to raise the concern directly with your practitioner or contact Back to Function Chiropractic. Early communication often allows concerns to be understood and addressed promptly.

A complaint should include, where possible:

  • Your name and preferred contact details;
  • A description of what occurred;
  • The date, clinic and people involved;
  • Any relevant supporting information; and
  • What outcome or response you are seeking.

We will handle complaints respectfully, review the relevant information and respond within a reasonable period. Privacy will be maintained as far as reasonably possible while allowing the concern to be properly assessed.

14. External complaint options

You are not required to complain to us before contacting an external body. If your concern is not resolved, or you prefer independent assistance, you may contact:

NSW Health Care Complaints Commission
Telephone: 1800 043 159
